The problem
Most equity programs depend on too few people.
Grants, vesting, exercises, payouts, participant changes, and filings each run on their own calendar. In most companies, one or two people carry all of it, on top of their other work.
| When | Work | Owner |
|---|---|---|
| Daily | Participant questions on awards, vesting, and tax | JM |
| Monthly | Vesting, exercises, and releases processed | JM |
| Monthly | Joiners, leavers, and role changes applied to awards | JM |
| Per payout | Payouts coordinated with payroll, broker, and custodian | JM |
| Quarter-end | Reconciliation and reporting for finance | JM |
| Annually | Tax reporting and regulatory filings | JM |

What does Allshares handle?
The agreed day-to-day administration of your plans: grants and vesting, exercises, releases, and purchases, payouts, participant changes and questions, share register and reconciliation, recurring reporting and audit support, and support for regulatory filings and tax reporting.
What stays with our internal team?
Plan strategy, decisions, approvals, and governance stay with you. Your records stay in your own platform, so your team keeps full visibility, and we report on the work we run.
Which countries do you cover?
Allshares manages ownership across more than 110 countries. Tell us where your participants are, and we'll confirm how we'd cover them in the first conversation.
Which equity platforms do you work with?
Our own platforms, Allshares Incentive Ops and Allshares Cap Table, and the major third-party ones, including Morgan Stanley Shareworks, J.P. Morgan Workplace Solutions, Fidelity, Carta, Ledgy, Computershare, UBS, Global Shares, E*TRADE / Morgan Stanley at Work, Charles Schwab, BofA Securities, and Certent, plus in-house tools and workflows.
Which plan types do you administer?
Employee share plans, LTI programs, ESPPs, RSUs, and stock options, for private and public companies at every stage. In Finland, we also administer personnel funds. If you run other award types, we confirm coverage in the first conversation.
How does the transition work, including from another provider?
In three steps. We review your plans, systems, and data with your stakeholders. We set up secure access, transfer data, and document your processes. Then we hand over the day-to-day in a live transition timed around your deadlines. Your plans keep running throughout.
Should we outsource plan administration or keep it in-house?
It depends on volume, complexity, and how much of the knowledge sits with one person. Many teams keep plan decisions in-house and hand the recurring operational work to specialists. The first conversation is where we look at your setup and agree what would make sense to hand over.
Do we need new software?
No. We work in the platform you already have. If you want one, Allshares Incentive Ops is our own platform for complex, multi-country incentive programs.
What does a plan administrator do?
A plan administrator runs the day-to-day operations of a company's equity plans: recording grants, tracking vesting, processing exercises, releases, and purchases, coordinating payouts, keeping participant records current, answering participant questions, reconciling data, and supporting the filings and reports the plans require. In the US the role is usually called stock plan administrator, and in Europe share plan administrator.
How do we get started?
